Main Purpose:

 

The Executive Assistant will be located in Shanghai office and directly report to Chief Executive Office. This role will be responsible for managing all aspects of support for the Chef Executive Officer and also need lead and manage overall administrative and office services.

 

Duties and responsibilities:

 

  • Provide wide range of day to day administrative and secretarial support to Chief Executive Officer.

 

  • Manage CEO’s appointments and schedules with staffs and customers etc.

 

  • Manage management meetings and organize activity for management team. Prepare agendas and minutes, proper detailed records, and filed and follow up correctly.

 

  • Manage and make travel arrangements, detailed itineraries should be offered.

 

  • Handle confidential information and maintain the security of the executive’s records and files.

 

  • All Translations – as and when required.

 

  • All Admin related management, including monitoring flowers maintenance, reception arrangement, company car/driver management, office space & cleanness maintenance etc.

 

  • Prepare invitation letter for guests coming to China.

 

  • Staff caring activities, such as office staff birthday party, new baby born gift, etc.

 

  • Coordinate with Richemont admin department for other ad-hoc projects.

 

  • Handle other tasks assigned by Chief Executive Officer.

 

Job Requirements:

 

  • Bachelor’s degree with major in administration management or related major.

 

  • Ability to work accurately and independently.

 

  • Ability to maintain a high degree of confidentiality of sensitive business.

 

  • Good MS Office, communication and teamwork skills.

 

  • Good command of oral and written English.
