MAIN PURPOSE

The Expo Events & Venue Operations Manager in partnership with corporate office teams and hired agencies will coordinate, integrate and assure all planning activity for Expo-related events operations, in order to deliver seamless, cross-functional operations. The Expo Events Manager will oversee the planning and execution for each and every day of the events operations. The Expo Events Manager is a critical operational role responsible for leading a team to produce the daily operational documents for dedicated days. The role requires weekend and early morning/late night working (on a rotation basis) throughout the expo duration. The Expo Events Manager, working in close collaboration with 2 Project Managers and 1 Communications Manager will ensure all project deliverables, milestones and deadlines for the Women’s Pavilion Osaka-Kansai Expo 2025 are being met and executed within the allocated budgets complying to both company policies and procedures as well as local regulations.

 

Leading up to the April 13, 2025 Expo Opening and during the Expo duration of 6 months, there will be expectations to temporarily be located in Osaka near the Expo site in corporate housing.

 

 

MAIN RESPONSIBILITIES

  • Actively participate in weekly Expo meetings as one of the 4 core project members
  • Oversee planning, development and execution of Expo inauguration events in partnership with corporate office teams (PR/Events) at local and HQ level
  • During Expo exhibition, lead onsite management in partnership with Project Managers (including the management of hired staff and contractors onsite), floorplan production and management; coordinate with the technical and infrastructure teams for facility impact and facility integration requirements
  • Liaise with Programming team and oversee events operations throughout duration
  • Proactively communicate the status of projects to the Head of Special Projects and internal Venue Leads
  • Events budget management, post-event reporting and analysis
  • Owner and editor of the Master Daily Mapping
  • Ensure that daily operational documents are compliant with all relevant laws and regulations, Expo Policies, H&S standards and any specific direction and guidance given by the Expo Association
  • Conduct assurance activities for the purpose of quality management/ continual improvement as required
  • Update shared folders with approved documents using the mandated workflow
  • Other events planning related tasks as directed by the line manager and/or HQ teams
  • Corporate office team collaboration and partnerships; creating and maintaining positive, professional and trusting working relationships within and outside the organisation; working collaboratively, building supportive, responsive relationships with colleagues and stakeholders whilst having the confidence to challenge assumptions.

 

 

NECESSARY PROFILE:

7+ years of experience in event and operations management at a manager level in a complex, ambiguous and dynamic environment, as well as:

– A bachelor’s degree within a relevant field, experience in the luxury sector is preferred;

– Willingness to undergo formal and informal training necessary for attaining competence in-role;

– Collaborates and facilitates effectively;

Detail oriented and meticulous;  

– Communicates expectations clearly and proficient in forming ad hoc teams to deliver results;

– Negotiation skills – capacity to get the best quality at the best expense, capacity to influence internal and external stakeholders;

– Creativity, pro-activity, ownership, flexibility, finesse skills and team player;

– Proficient in MS Office applications, particularly Excel, Word and PowerPoint;

– Flexibility to work outside of standard working hours with frequent travel to Osaka

– Language: Japanese (native level), English (native level)
