MAIN PURPOSE

The purpose of the position is to provide a full scope of daily administrative and operation supports to Senior Retail Executive/Regional Manager, and the Area Manager if applicable. Support & supervise the operations & administration of the Boutiques regarding the training, HR, and reimbursement requests. Assist the Operations team and High Jewelry team to coordinate the commercial events. Align with the CRM team to assist the BTQs to maintain the valuable customers.

KEY RESPONSIBILITIES

 

  • Key responsibility 1 – Sales reports
  • Daily-sales Report sharing twice a week
  • Tracking the Sales Performance of the Boutiques on monthly basis.
  • Collecting the information and compiling the monthly Competitor Report.
  • Peak season BTQ sales KPI review.
  • Updating the Network Report on monthly basis
  • As per request by RM, updating the PPT “Market Visit Report” 3 working-days before the planed trips.
  • Compiling or updating the competitor’s report as per request by RM.
  • Quarterly updating network booklet.

  • Key responsibility 2 – Assistance of the BTQ operations management
  • Checking the monthly attendance report of the BTQ colleagues.
  • Cross-checking the BTQ sales’ monthly commission.
  • Checking & tracking the BTQ expense reports, including the petty cash report, personal travel reimbursement, BTQ trip requests, PO settlement.
  • Updating the BTQ organization chart on monthly basis.
  • Administrative preparation of the new staff on-board in the BTQ.
  • Assisting RM AM to support BTQ project , like opening/closure/renovation related preparation work.

  • Key responsibility 3 – Event support
  • Collecting the BTQ activity and animation.
  • Coordinating with PR for BTQ event, or with HJ team for HJ event preparation.
  • Assisting to arrange the accommodation & transportation, or the pick-up for customers.
  • Assisting annual conference event  to do BTQ staff itinerary arrangement.

  • Key responsibility 4 – Customer relationship management
  • Sharing monthly CRM KPI report with the BTQs.
  • Coordinating with CRM to arrange seasonal client gift allocation.
  • Collecting CRM catalogue orders quarterly.
  • Tracking the BTQ CRM related budget.
  • Updating the Top 70 client list.

  • Key responsibility 5 –Miscellaneous administration support
  • Organizing the monthly BM Meeting by booking the meeting room, preparing the meeting topics and generating the meeting minutes.
  • Collaborating with the training team to organize the proper trainings for the colleagues according to RM. Consolidating the nomination list, arrange the accommodation & transportation, and aligning the corresponding expenses with the training team.
  • Coordinating the BTQ visits for RM & AM.
  • Assisting with the staff purchase as per requests.
  • Assisting BTQ chop request process.

QUALIFICATIONS

 

Experience:

  • Bachelor graduate and above
  • Above 1 year related working experience or MT experience
  • Have a good command of Excel and Power Point
  • Being well-organized and detail-oriented
  • Good team player
  • Fluent in oral & written English

 

Additional Requirements:

  • Experience in retail/luxury industry is preferred
