JOB DESCRIPTION

The Event Project Manager is a senior role in the event team who will assist the Senior National Event Manager to create and deliver events according to the need of the brand and business.

 

These events are of different scales and natures and the Event Project Manager is expected to be able to lead these projects independently in all aspects, from briefing to design implementation and follow up, to deliver quality work that meets, if not exceeds, the standard of the Maison.

 

Also, as a senior leader in the event team, the Event Project Manager is required to supervise and groom a team.

 

MAIN PURPOSE

The main purpose of the Event Project Manager is to support the Senior National Event Manager on multiple aspects of the running of the event team, from project management to team management.

KEY RESPONSIBILITIES

  • Key responsibility 1 –

Creation, development, production and follow up of image building, commercial, press and corporate/internal event projects in a systematic way as multiple projects will take place at the same time:

- Understand clearly the standard of the Maison, the need and expectation of the different events. Create client experience and journey for each event using digital media, on top of physical set ups.

- Propose strategy, concept, project plan and follow through them until delivery of events, in areas such as, but not limited to, production, logistic, hospitality, security, and catering, etc.

- Plan and manage the event budget that fulfil company finance and legal procedure and ensure they are being well controlled on a day to day basis.

 

  • Key responsibility 2 –

Manage the work relationship with internal departments, such as the communication and retail team, while maintaining clear, efficient and timely communications with different departments at the HQ.

 

  • Key responsibility 3 –

Develop a pool of vendors and creative agencies. Identify suitable vendors and cultivate them to delivery qualitative work that meets the standard and expectation of the brand. Also, manage the work relationship with them, negotiate the best deal to ensure cost effectiveness and job efficiency.

 

  • Key responsibility 4–

To lead and coach subordinates, provide leadership, motivation and direction to the team. Also, supervise team to handle event team administrative works including, but not limited to, budget updating, YTD checking, PO issuing, payment settlement, stock requisition, filing and warehouse stock management.

MINIMUM QUALIFICATIONS

  • The role requires a Bachelor’s degree and at least eight years of relevant experience in event management or event related roles in an Event/PR agency or in-house Event/PR/Marketing Department.
  • Good at using Microsoft Excel, Microsoft Word, PowerPoint. Proficient in written and spoken English and Chinese.
  • Strong communication and presentation skills. Possess a sense of urgency, strong problem-solving skill and a great attention to detail. Ability to manage multiple projects concurrently and remain flexible and energetic.
