JOB DESCRIPTION

 

The Event Executive is a supporting role in the event team, and for this particular position, the Event Executive will focus on client treatment and hospitality. Namely, this person will oversee all aspects related to the hospitality needs of our different kinds of clients at different events, from transportation to accommodation, gifting to entertainment arrangement.

 

This person will work on various projects simultaneously, and this person needs to ensure that the work will be delivered in accordance to the standard of the brand.

 

 

MAIN PURPOSE

 

To support the event team in handling all areas regarding client treatment and hospitality for different events.

KEY RESPONSIBILITIES

 

  • Key responsibility 1 –
    • Under the supervision of the Assistant Event Manager, to develop and execute client treatment and hospitality related topics including, but not limited to:

 

  • Transportation arrangement for different transportation methods, from pre-planning to onsite execution.

 

  • Accommodation related topics, including: identifying and sourcing the appropriate hotels, negotiate rates with the hotels to ensure best deals can be arranged, working with the hotels on rooming list and managing the hotels throughout the stay of our clients.

 

  • Work with 3rd parties for gifting and client treatment options.

 

  • Key responsibility 2 –
    • Throughout the different projects, the Event Executive has the following responsibilities:

 

  • Co-ordinate with internal departments and external parties for planning and implementation.

 

  • Identify appropriate vendors, negotiate service contracts and supervise their work.

 

  • Create project timelines and checklist, follow-through them from the planning stage to post-event reports.

 

  • Key responsibility 3 –
    • To be aware of the happenings in the hospitality industry, such as hotels and restaurants. And, hence, be able to propose the best and, preferably, new and unexpected experience to our clients.

 

  • Key responsibility 4 –
    • Handle administrative works of their respective projects including budget updating, YTD checking, PO issuing, payment settlement, monthly accrual, stock requisition and filing, etc.

 

  • Key responsibility 5 –
    • Coach coordinator or intern when applicable.

MINIMUM QUALIFICATIONS:

 

  • The role requires a Bachelor’s degree and at least 3 years of relevant experience in hospitality management agency or hospitality related roles in an event agency or in-house event department.

 

  • Experience in the hospitality industry is also suitable.

 

  • Strong communication and presentation skills. Possess a great attention to detail, a sense of urgency, and problem-solving skill. Ability to work independently and is flexible in dealing with unexpected circumstances.

 

  • Good at using Microsoft Excel, PowerPoint, Word. Proficient in written and spoken English and Chinese.
