Brand Experience Coordinator

(Long-term temporary role)
The Brand Experience Coordinator is responsible for all the administrative and operational functions of the Brand Experience business. This includes but is not limited to overseeing logistics, inventory control, feedback organization, warehouse communications, vendor set-up/procurement, budget upkeep, creative ideation and maintenance of internal documents. They will provide key support on strategic projects, transversal communication and organization of internal documents. This role requires a strong excel background as the Brand Experience Coordinator will be managing a robust-gifting inventory, shipment logistics and invoice book-keeping. Strong communication and organizational skills are also key as the Brand Experience Coordinator will work transversally with external vendors and internal key stakeholders. Additionally, they will be providing adhoc strategic support on Brand Experience projects as needed.
Main accountabilities/objective of the position
Key Responsibilities
- Manage the booking, set-up and invoicing of vendors as needed
- Maintain, organize and update internal invoicing records
- Fulfill branded gift orders for Cartier North America POS, corporate office and retail partners (via SAP)
- Maintain, organize and update internal gift ordering platform and inventory sheets
- Oversee branded and non-branded gift stock movements and investigations with Transportation/Warehouse teams and vendors
- Follow-up on inbound orders with Cartier Headquarters Operations team
- Develop and format presentations and reports as needed
- Assist in the creation of allocations for POS and corporate departments
- Assist with vendor research as needed
- Sample closet organization and upkeep
- Collect and maintain relevant feedback of activations and tools from the network to be shared with key stakeholders
- Liaison with other departments on collecting and distributing collateral and communications
- Administrative support includes, but not limited to: ordering vendor samples, mailing out collateral, archiving, booking conference rooms, ordering office supplies etc.
- Assist the Brand Experience team on gifting development, ideation and strategy as needed
Qualifications:
- Bachelor’s degree or higher required
- 2-3 Years of experience in an excel-focused or merchandising role
- Efficiency in Microsoft suite (especially Excel, Power Point and Outlook)
- SAP experience preferred
- Exceptional organization skills; especially maintaining internal documents
- Effective communication skills
- Creative problem-solver, strong attention-to-detail, motivated and a self-starter
- Vendor-relation or procurement experience a plus
- Interest in the Luxury industry, specifically in Brand Experience and Client Treatment
- Ability to adapt/demonstrate agility, and willingness to learn as the needs of the team and the markets evolve
- Flexibility and ability to multi-task in a fast-paced environment
- Collaborative approach with ability to foster a united work environment with a “can do” attitude
- Ability to work both as part of a team and independently; demonstrates initiative
- Ability to project an approachable and professional image in personal appearance, manner, and demeanor
- Must be a team player, enthusiastic and positive
